Event Management 101: 7 Key Elements Explained

Behind every successful event from event production are 7 key elements that fuel it to fruition. If you are thinking of planning and organizing your own occasion, it’s best to learn more about them by reading the details below.

1. Event Infrastructure

Under event infrastructure are crucial elements named core people, core concept, core structure and core talent. Its nature depends on the occasion’s categories and variations.

2. Core Concept

Core concept is a word utilized to define the basic underlying evolution of the several major event categories. The core concept of an occasion can be compared to the root of a tree that gets energy, and nurtures the foundation of another tree that is bound to grow.

3. Core People

Core people are the very individuals acting, participating, performing and influencing the audience. They create the desired impact in the target audience’s mind, depending on the clients’ brand. Remember, the core people’s personality must reflect the overall brand personality of the occasion. If you need people to take the center stage, they will do it.

The target audience can experience the knowledge, charisma and expertise of the core people, and even has the chance to interact with them.

4. Core Talent

In any event category, the core people are asked to have a specific reputation, expertise and knowledge. It is this so-called core talent that influences and attracts the people. For instance, in a classical music concert, the kinds of people who are attracted to the occasion depend on the performer’s talent.

Core talent helps in making different variations in any event category. Each one can have a limited time, boundary constraints and number of participants. At some point, it may lead to some challenges since varied talents are required to play in every game.

5. Core Structure

The presence of an informal or formal organization to make an event category successful is crucial, from a marketing point of view. The more structured and formal it is, the more lucrative that specific event category becomes. It can become easier to market and manage.

By more structured and formal, I mean that there is a concrete organizational structure in which responsibilities and roles are assigned to various organization members, alongside proper authority delegation to implement the roles.

6. Target Audience

The target audience is the specific customer group you and your event should focus on. Your event design may depend on their demographic profile of your target viewers. Through this criterion, your occasion can get its budget and image. Whether you will be organizing a simple home party or a huge corporate event, it is safe to rely on the details surrounding your target audience.

7. Clients

Clients are the organization and people who function as event sponsors. They are labeled as event sponsors because they utilize events as an effective form of marketing communication. They regard events as tools for their own gain—to reach their desired position in the target audience’s minds and hearts.
